Registration, Payment, Cancellation and Refund conditions
Registration
When submitting a full paper and corresponding registration form, the submitting author guarantees that there will be a participant responsible for the presentation of the paper. If payment for the registration fees does not arrive before 20 June 2008, then the conference organiser will discontinue the pre-publication processing of the paper. Papers which are not published, are not eligible for presentation.
Payment conditions
All amounts which are sent to the conference organisation by means of bank transfer, must arrive in full without any deductions for bank charges (neither domestic nor foreign charges). The sender should be responsible for all charges.
Cancellation policy for participants who are NOT submitting and/or presenting a paper
A refund of transferred registration fees is only possible when participation is cancelled in advance. Cancellation requests have to be sent by letter or email to the conference organiser.
If the cancellation request arrives:
- before 20 August 2008, then the refund will be the total received amount minus a handling charge of € 25,-
- before 27 August 2008, then the refund will be 75% of the received amount minus a handling charge of € 25,-
- before 3 September 2008, then the refund will be 50% of the received amount minus a handling charge of € 25,-
- before 10 September 2008, then the refund will be 25% of the received amount minus a handling charge of € 25,-
- after 10 September 2008 no refunds will be given.
Cancellation policy for participants who ARE submitting and/or presenting a paper
As the registration fee is largely used to cover the expense of processing and publishing the paper, only the part for the cocktail party (€ 20,-), conference banquet (€ 75,-) and the fee for the accompanying persons can be refunded. Cancellation requests have to be sent by letter or email to the conference organiser, and have to arrive before 3 September 2008. After this date no refunds will be given.
Please note that bank transfers or letters often take a very long time. Should a amount reach our accounts after a given date, then we will request that you pay the difference. Idem if a canceling message reaches us after a given date, then it will be considered as non existent.
Late payments
Outstanding payments, in excess of €50, of which payment is not received by the 1st Sept, will be increased by an administrative surcharge of €25. The surcharge and other payments should be paid IN CASH at the registration desk before the conference documents can be collected.
